Description

The Yellow Folder Coordinator is a contract position for 6 months and responsible for creating, maintaining, and auditing Yellow Folders (YFs), which serve as the standardized reference packages for production runs across all locations. This role ensures that operators, supervisors, and press staff have accurate, complete, and up‑to‑date materials, including PDFs, proofs, process condition sheets, and colour standards, to achieve consistent repeatable print quality. The Coordinator acts as a key liaison between Pre‑Press, Graphics, Mounting, and Press Room teams.

 

Essential Job Functions:

 

Creation & Preparation of Yellow Folders
Prepare Yellow Folders for new jobs, including:

  • Gathering PDF files and approved colour proofs
  • Adding blank process condition sheets for supervisors/operators
  • Including sample request sheets for colour standard creation
  • Creating and mounting colour board standards once samples are validated in ColourCert
  • Prepare Yellow Folders for repeat jobs, including:
  • Ensuring updated PDFs and proofs are included
  • Confirming completed/typed process condition sheets from previous runs
  • Including the approved colour target boards

Coordination & Scheduling

  • Issue Yellow Folders to Mounting and Press Room departments based on schedule
  • Use production scheduling tools (e.g., PSA, Radius system)
  • Work with the Graphics department to obtain up‑to‑date PDFs for new or modified orders

Cross‑Functional Communication

  • Communicate with Press Supervisors when process condition information is missing or incomplete
  • Participate in issue‑resolution discussions when jobs are paused due to production concerns

Quality Control & Auditing

  • Pick up completed Yellow Folders daily from Press
  • Audit contents to ensure all required components are present, including:
    • PDFs
    • Proofs
    • Completed process condition sheets
    • Samples
  • Colour boards
  • Verify colour standards using X‑Rite / ColourCert and Pantone Live when required

File & Library Maintenance

  • Maintain an organized library of Yellow Folders, proofs, PDFs, and colour boards.
  • File folders in numerical order using plate numbers for easy retrieval
  • Obsolete outdated content such as proofs, PDFs, colour boards, or standards following established procedures
  • Ensure correct digital file building and organization in electronic systems

Colour & Standards Management

  • Follow instruction sheets for saving samples and creating colour standards
  • Assist with measuring colour, handling custom colours, and validating standards through colour‑measurement systems

General

  • Complies with all general Company-wide standard operating procedures (SOP’s) and any job or department specific SOP’s.
    • SOP’s may cover the areas of (but are not limited to)
      • Employee Health and Safety
      • GFSI (Safe Quality Food packaging) and GMP (good manufacturing procedures) focused on eliminating contaminates in all packaging manufactured.
      • SGP (Sustainable Green Printer) environmental regulatory procedures and SOP’s
  • Must work within productivity standards and completes work in a timely manner.

· Special Projects & other duties as necessary

Skills and Knowledge:

  • Experience in a pre‑press, print production, or quality‑control environment.
  • Strong organizational skills and attention to detail.
  • Ability to interpret proofs, PDFs, and colour standards.
  • Comfortable using production software (Radius, PSA, ColourCert, etc.).
  • Strong communication skills for cross‑department collaboration.

Preferred:

  • Knowledge of flexographic or lithographic printing processes.
  • Experience with X‑Rite devices, Pantone Live, or colour‑management systems.

  • Time Management – Works efficiently to meet production deadlines.

Physical Demands:

  • Ability to move between departments (Press Room, Mounting, Pre‑Press).
  • Ability to handle printed materials, folders, boards, and sample sheets.
  • Occasional lifting of up to 25 lbs.

Working Conditions

  • Fast‑paced production environment.
  • Daily coordination with multiple teams and frequent communication.
  • Requires high levels of organization and focused task management.
